I think Chesapeake is a great location, Hampton, too as I am kindof in the middle of both.
Thanks for taking charge and please let me know what to do
I guess when we get the place then we'll be able to get into the serious organizing!
I do have a couple of ideas here in Hampton that I will look into.
If we want to have it the weekend of the Regional though, does it make sense to look into a hotel in Virginia Beach near the convention center? Especially if some of us are going to stay there for the regional.
Or do we want to try for two? One in February and another at the Regional?
I am up for either option, but I think there was someone that was interested that is not a SU demo so they wouldn't be attending the regional.
I'm not sure that planning the event around regionals is such a good idea. I'm not a Stampin Up Demo so it doesn't affect me either way. However, I am interested in meeting people from this area and if we do this event the same time as regionals then that might mean some aren't able to attend because they are at regionals. Lots of the gals have kids and families and just woudn't be able to do both events. I think it could be neat to meet some out of town SCS gals but couldn't we plan like a dinner or lunch around your time at regionals and get together that way?
Stampin Anna found a place in Chesapeake that would be about $30 an hour to rent and has a kitchen we could use. Do you think that is too much? How much would everyone be willing/able to spend for this to happen?

I don't think we'd be able to get it all together by Feb, I think March or April are better months to aim for. I'm not sure there is a strong enough desire to do two, at this point, just looking at the posts so far on the thread. I did look into one place in the Ches Sq area, and the cost to do it on a Sunday increases by 25 dollars an hour for an employee to be there. The cost per hour on a Sat wasn't bad, depending on how many people we have coming. I think it's a good place to consider having it at because it's right off the highway, central to both the peninsula, and VA Beach from 664. For 15 people for five hours, it would be 10 dollars per person for the room. It had a kitchen, so we could bring food in to cook, saving on adding that cost. There are several restaurants locally as well at that location. That location would mean it can't happen around regionals because it would have to happen on a Sat. Plus, any church location would be a Sat, because of church functions. I did look up a few hotels with banquet rooms in Hampton, and they were more costly plus, food being brought in was an issue for a few, and their menus were very costly. I have put in a call to a church, and will check into another one in the Ches area.
I think planning a seperate gathering at a restaurant is a great idea, like Mommaof3 suggested. I don't know what time SU's events are, but we could eat after on Sat night, or even a Sunday brunch someplace. That's just a matter of selecting a place and time, and putting out an open invitation. I just think having it around the SU function would make it harder, because it could either make for a huge shoe box swap, or make it hard for locals to make it to the shoe box swap.

I dont know what time the SU! regional meeting is either so I am pretty flexible as to when we do it but I am going to them since I just became a SU! demo this week
Ches. Square is a great area to meet at, very centralized.
The SU regional event runs from 8 a.m. to 5 p.m. The 2 days are the same, so people attend either on or the other. The groups of demo's that I meet with are planning on spending the night at a hotel on Friday, not sure which day they will attend the session. I probably will attend on Saturday, so a dinner either night would work for me.
I have also found a small place (20 people tops using 2 rooms) in Hampton that is free as long as we buy our meal from them. The basic price range is $4 - $6 not including drinks. The choices are sandwiches and salads. If it is of greater interest, I can post the menu (they gave me a copy). If it is not too busy that day, they may also do breakfast choices. It is right off the expressway, so easy to get to with plenty of parking. It is available Saturday and Sunday.
I'm in Northern VA and I'm interested in attending....depending on when it is going to be held. I just became a SU! demo (still waiting for my starter kit!) and I'm so excited. I'll subscribe to the thread so i can keep up on dates/times/etc.

I can't wait to get together,
Vickie A.
Okay, lets put up a poll, see if we can get an idea of head count. Lets see if we have more interest than 20 people. If not, than I say we go with that place, can't beat a free room. I'll set up a poll with a tenative time line being March.

Just checking in on this thread to see if we came up with anything yet. I am excited about this get together! Let me know if I can be of any help at all!

Ladies, just a reminder, we need you to vote on the other poll. This will let us give us an idea about how many people, and will help choose the location for the gathering. So, please go vote if you haven't yet. The poll will be closing on Sunday.
Hi I just found this thread and was tickled pink to see someone doing this... I actually live about a mile over the Va border of Suffolk and would love to get together with some other stampers... I am alsao planning on attending the SU evnet in April as long as my husband ship doesn't deside to come back from deployment that day.
Just sent an email to the Doubletree hotel next to the convention center for the 23rd of April. Day after regionals to see how much it would be to get a large meeting room there. Will let you know what I find out!
Erin
Would the 23rd of April be good? Figure lots of people will be there anyway!

Could do morning and afternoon sessions?
We're already working on two local locations. Possibly we're looking at March right not. We're not doing the gathering around regionals. Please vote in the other poll if you think you'll want to attend in March. We're trying to find out a head count to see if we'd fit in this one location where the room is free in Hampton. So, if you're intrested in that, please vote for that. The other location we're considering is in Ches to make it central for all of Hampton Roads area, including Williamsburg ladies.

Hi, Aimee! Be sure to vote on the poll on the other thread. Trying to get that head count to see if we'd fit at the spot in Hampton.
I think the place is Hampton would be best, if we have under 20 people. 1st off, it's free and seems kinda central to those that have shown an interest.
I hosted a shoe box swap last May in Northern VA. It was supposed to be at my pool club's community room but the club cancelled at the last minute due to renovations. We ended up having it at my house. I used my DR table, Kitchen table and set up a table upstairs in my craft room and another table in my kitchen (big kitchen). I think we had 15 or "stations." It was crowded but fun.
I teamed up with another SCSer -- I hosted and she handled the registration. We gave back $$ because we didn't need to pay for the clubhouse, but a lot of folks told us to put it towards door prizes. I can't recall what we did for food, but I think folks brought a lot of junk food -- we did it in the afternoon I think from 1 - 5 or so.
It was a LOT of fun. I would love to be able to come to one in Virginia. My situation is a little iffy because my Mom is sick but if it wasn't too far from Northern VA, I might be able to swing going. I'd prefer north of Hampton, but would consider the VA Beach area. I'd probably stay overnight if it was that far and could only do it on the weekend.
I might be able to persuade a few other Northern VA stampers to come too!

Nope, not too late. There's another thread for you to vote on. The link is a few posts up in this thread.
ETA It's post 59. There's the link to the other thread.
I'd love to attend, but I can't commit to anything right now. :( I live between Harrisonburg and Lexington. So I'm a good 3 hours west of Williamsburg, going on I-64, and probably 3 hours from Suffolk, going through Petersburg and down Rt. 460.
